The Workplace Coordinator is the heart and soul of Haven Entertainment Studios Inc.  You will play a key role in building a strong company culture by living Haven’s values of kindness, adaptability, and fearless optimism to enable excellence. You will provide daily support to the development team and leadership team collaborating on a variety of topics ranging from office efficiency to event organization.

Reporting

The Workplace Coordinator will report to the Studio Operations Lead.

 

Responsibilities and Duties

  • Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Help with organization of milestone celebrations, studio social events, recruitment events and leadership offsites.
  • Assist the development team, leadership team, and President with tasks such as restaurant bookings, travel arrangements, gift purchases and distribution, calendar management, and other administrative tasks as needed.
  • Be responsible for health and safety guidelines, proactively inspecting the site on a daily basis, ensuring that all requirements are met within health and safety guidelines.
  • Obtain and process product orders, including receiving deliveries, registering them and distributing packages and letters.
  • Maintain the company stockroom by organizing and cataloging items on a regular basis.
    Troubleshooting on and off site workplace needs, including scheduling different trades (e.g. Electricians, plumbers etc)
  • Help with coordination of seating charts, floor plan changes, setup of new spaces, equipment, etc.
  • Create a positive environment by proactively thinking of ways to support the team and be helpful.

 

Minimum Qualifications

  • Experience as a Workplace Coordinator, receptionist or administrative assistant.
  • Detail oriented, confident, self-starter with exceptional organizational skills.
  • Autonomous and proactive with an ability to problem-solve and be resourceful.
  • Ability to work under pressure, accept feedback, and maintain composure in high stress situations.
  • Positive and friendly “people person” with strong interpersonal skills, emotional intelligence, and empathy.
  • Tech-savvy and versatile in Google Suite and Slack.
  • Excellent written and verbal communication skills, in French and English.

 

Preferred Qualifications

  • Comfortable interacting with executives and large numbers of employees at all levels.
  • A creative mind with an ability to suggest improvements.
  • Working experience in the Hospitality Industry is a plus.
  • Ability to lift and/or move items weighing up to 10 pounds across the office for various needs.
  • Willingness to work in the office at least four days per week.
